Packing slip vs commercial invoice vs packing list

An export packing slip records the goods physically packed for dispatch. An export packing list often provides a fuller package-by-package breakdown. The required detail depends on your buyer, forwarder and customs procedure, so agree the contents rather than relying on the document name.

The commercial invoice records the sale, prices and values. This packing-slip preview and its downloads omit prices and focus on quantities, carton marks, dimensions and net/gross weights. It is a cargo document for an export shipment.

If the forwarder needs one entry for every carton, expand the editable file into a carton-level schedule. A simple group of product rows may not provide that detail by itself. Check the destination document checklist for the wider document set.

How to fill this packing slip

Fill and download this template →
  1. 01

Use a shipment reference that can be matched to the commercial invoice. Confirm the exporter, receiving address and actual packages being dispatched.

  2. 02

Add a line for each product and carton-mark group. Enter packed units, not ordered units, and separate rows when the same product is split across different marked cartons.

  3. 03

Record marks exactly as printed on the cartons and give dimensions with units. State whether measurements describe one carton or a grouped package entry.

  4. 04

Enter line-total net and gross weights in kilograms. Count each physical package once, even when more than one product row refers to it.

  5. 05

Compare the packed quantities with the invoiced dispatch and agree totals with the forwarder’s waybill. Export Excel, Word or PDF; add a carton-by-carton schedule if the receiving process needs more detail.

Carton marks and package identifiersMatch each row’s marks to the labels on the physical packages. The same mark is abbreviated differently on the carton and the document.
Packed quantity and selling unitCount the units actually inside the marked cartons, including mixed-product boxes.Copying the purchase-order quantity when part of the order remains unshipped.
Package dimensions and measurement unitSpecify the length, width and height basis for each package group.Reporting centimetres as millimetres or leaving unclear whether dimensions describe one box.
Line net and gross kilogramsCheck row-total goods weight against the packed weight on a consistent basis.Adding per-unit weights as if they were row totals, or allocating shared packaging twice.
Physical package countReconcile the total with the cartons or handling units handed to the carrier.Counting a mixed carton again for every product line it contains.
Commercial invoice cross-referenceUse a traceable reference to match packed products to the invoiced dispatch.Leaving the receiver unable to connect the packing reference with the invoice number.

Matching the invoice and the waybill

Reconcile each packed product and its quantity to the corresponding commercial invoice line. If one invoice covers multiple dispatches, identify which lines and quantities belong to this shipment. A packing reference should lead the receiver to the correct invoice, not just to an unrelated internal document number.

Then compare package count and gross weight with the waybill or forwarder’s cargo record using the same units and packaging basis. A carrier may use a different chargeable-weight calculation, so do not substitute that billing figure for the actual net or gross cargo weight without explanation.

Count a mixed carton once and explain how its contents are spread across product rows. Avoid an invoice with item values but a packing document with no usable package count. When origin proof is requested, prepare the origin statement draft separately; for clearance-purpose invoice details, use the customs invoice template.

FAQ

Does a packing slip show prices?+

This export packing-slip preview and its downloads omit prices. Put unit prices, sales amounts and currency on the commercial invoice; use the packing document to describe the physical goods.

Do I need both a packing slip and an invoice?+

Often they serve different needs: the invoice records the sale and valuation, while the packing document helps check cargo. Ask your importer or forwarder whether a packing slip, a detailed export packing list or another package schedule is required.

Is this the same as an export packing list?+

The names sometimes overlap, but required detail matters more than the label. This template includes product rows, carton marks, dimensions, package counts and weights. If every individual carton must be mapped separately, expand the editable file to that level.

Are net and gross weights per item or per row?+

The weight fields represent totals for the product row in kilograms. Net excludes packaging; gross includes the relevant packaging. Reconcile the grouped row weights with the physical shipment and avoid assigning the same packaging weight twice.

Can one carton contain several product lines?+

Yes. Use matching carton marks on the related rows and count the carton only once in total packages. In the editable file, add a carton-level schedule if needed to explain mixed contents and avoid duplicate package or weight totals.
